Initial Belt Project: IT Break-Fix Service Level Agreement for OSS

Problem Statement: This project is designed to improve the cycle time required to identify, escalate and diagnose a Technology Break-Fix in support of the OSS Service Level Agreement. During the spring of 2013, break-fix problem solving around the sorter page issue was sequential. The proposed service level language requires all IT partners to work in concert and in a coordinated fashion in order to bring remedy in the shortest possible time to address an “Extraordinary Event”.

Goal Statement: Create a IT Break-Fix SLA that will govern the remedy protocol within IT and be inserted in the OSS SLA to provide transparency to our clients.

Noteworthy Findings: $266,000 of opportunity loss attributed to case study, “sorter page.”

Results: Pending IT Partner implementation and measurement of repeat occurrence

However, they might not necessarily align with data obtained through either channel. In addition, the duplicative and decentralized nature of these programs creates redundancies and inefficiencies.  Finally, the existing frameworks do not formally acknowledge the Voice of the Business or the Voice of the Process. In order to ensure that all CI projects support the mission and vision of OSS, as well as the OSS commitment to customer satisfaction, these “voices” must also be represented.

Goal Statement: The improvement objectives and targets for this project are to develop a plan to integrate the improvement ideas of VOC, VOB, VOA, and VOP into the CI Program.

Sherri has 30 years of experience in the private and public sector. She began her public career with Central Ohio Transit Authority, as the Consumer Relations Manager. She then served in the position of Deputy Director, Consumer Affairs at the ORSC She then moved onto the ODE as the Assistant Director of the Customer Service Department. Sherri currently serves at the Ohio Shared Services Division as a Business Transformation Program Lead. Green Belt Project: OSS Training Plan “Kaiju”

Problem Statement: Currently, there are multiple “training plans” (depending on the service line and the individual’s position) and a lack of resources to address the training needs, resulting in: unhappy customers, low morale, unmet goals, a lack of efficiency, non-standardized training, unclear expectations, untrained staff, agency complaints, low utilization, and high call volume.

Goal Statement: Design a repeatable, sustainable training plan for OSS staff starting with OBM orientation and continuing through ongoing development. The plan needs to address OSS training needs and identify resources, roles, and responsibilities.

Noteworthy Findings: Scope creep can sneak up on you; mutiple root causes to the problem statement.

Results: Narrowed the scope to those things that are within our immediate control, developed a compreshensive solution and implementation plan.
